Privacy Policy
Alba Clinic OS is the practice-management platform operated by ALBA DENTAL LLP (“Alba Dental”) to run its dental clinics. This policy explains what personal data we collect, why, how we protect it, and the choices you have.

01Who we are

02Whose data this covers
This policy covers our staff (doctors, receptionists, assistants and administrators) and the patients and their parents / guardians whose information is managed in the App. Patients are minors; the account and consent are held by the parent or guardian.
03What we collect
Staff: name, phone, email, role, employment records and identity / KYC documents required for HR and compliance. Patients & parents: name, date of birth, gender, contact details and address; clinical and treatment records, prescriptions, dental images / X-rays and documents; appointment history; and payment and billing information. Communications: messages exchanged with the clinic over WhatsApp, SMS, email and in-app, including delivery status. Technical: basic device and log information needed to operate and secure the App.
04How we use it
To provide dental care (scheduling, treatment records, prescriptions, billing and follow-up); to communicate with you (appointment reminders, confirmations, care instructions, receipts and service updates) over your chosen channels, including WhatsApp; to operate, secure and improve the service; and to meet legal, tax and regulatory obligations. We do not sell your personal data or use patient health information for advertising.
05WhatsApp and messaging
When you message us on WhatsApp, or consent to receive messages, we use the WhatsApp Business Platform (provided by Meta) to send and receive messages about your care and appointments. Message content and delivery information are stored in the App as part of your record. You can opt out of WhatsApp messages at any time by replying STOP, and we honour opt-outs across channels. Meta processes WhatsApp messages under its own terms and privacy policy.
06Who we share it with
Service providers who help us run the App under confidentiality obligations — including our cloud hosting and database provider (hosted in India) and messaging providers (Meta / WhatsApp and SMS / email gateways) — only to the extent needed to deliver the service; and authorities or third parties where required by law, or to protect safety and legal rights.
07Where we store it and how we protect it
Data is stored on secured infrastructure hosted in India (Mumbai region), with access controls, encryption in transit, role-based permissions and audit logging. Patient documents and sensitive files are restricted to authorised staff and served only through authenticated sessions.
08How long we keep it
We retain personal data for as long as needed to provide care, comply with legal, tax and medical-record retention requirements, and resolve disputes, after which it is deleted or anonymised.
09Your rights
Subject to applicable law, including India’s Digital Personal Data Protection Act, 2023, you may request access to, correction of, or deletion of your personal data, and may withdraw consent for optional processing such as marketing messages. To exercise these rights, contact our Grievance Officer at privacy@albadental.in. As patients are minors, these rights are exercised by the parent or guardian.
10Children's data
The App manages the records of minor patients on behalf of, and with the consent of, their parents or legal guardians. We do not knowingly collect data directly from children without such consent.
11Changes to this policy
We may update this policy from time to time. The “Last updated” date above shows the latest version, and material changes will be communicated through the App or the clinic.
